Privacy Policy
Effective July 27, 2026. This policy explains how Time Guard AI, a product of OMG Systems (“Time Guard AI,” “we,” “us”) collects, uses, stores, and protects information when you use our AI receptionist and related services for real-estate professionals at timeguard.omgsystems.ca (the “Service”).
Who this applies to
The Service is used by real-estate agents and their teams. If you are a prospective buyer or seller who interacts with an agent’s AI receptionist, the agent (our customer) is the controller of your information; we process it on their behalf.
Information we collect
- Account & workspace data - name, email, brokerage, phone number, agent settings, and billing status.
- Call, message & contact data - call recordings and transcripts, SMS/email follow-ups, and contact records (including any imported from your CRM), used to qualify leads, book showings, and follow up.
- Connected-service data - when you connect a CRM (GoHighLevel, Follow Up Boss) or Google Calendar, we access data from those services as described below.
- Usage & device data - standard log and product-analytics data to operate and improve the Service.
Google user data (Google Calendar)
If you choose to connect Google Calendar, we request the Google Calendar scope (https://www.googleapis.com/auth/calendar) via Google OAuth. With your consent we use this access only to:
- read your existing calendar events as “busy” blocks so the AI does not double-book you; and
- create, update, and cancel the showing appointments that you or your AI receptionist book through the Service.
We store the OAuth tokens needed to maintain this connection and the appointment/event metadata required to keep your calendar and the Service in sync. You can disconnect at any time in Settings → Calendar, or by revoking access at myaccount.google.com/permissions; we stop accessing your Google data and delete the stored tokens.
Limited Use. Time Guard AI’s use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements. We do not sell Google user data, use it for advertising, or use it to train generalized or third-party AI/ML models; we do not transfer it except as necessary to provide the Service, comply with law, or as part of a merger/acquisition with equivalent protections.
How we use information
To provide and operate the Service - answering and placing calls, qualifying leads, booking and confirming showings, following up by SMS/email, syncing your CRM and calendar, billing, support, security, and improving the product. We do not sell your personal information.
Sharing & service providers
We share information only with service providers who process it on our behalf to run the Service - including telephony (Twilio), speech and language processing (Anthropic; on-platform speech models), payments (Stripe), calendar/CRM providers you connect, and cloud hosting/database (Supabase and our VPS hosting). They are bound to use it only to provide their service to us.
Data retention & your rights
We keep information for as long as your account is active or as needed to provide the Service and meet legal obligations, then delete or de-identify it. Consistent with Canadian privacy law (PIPEDA), you may request access to, correction of, or deletion of your personal information - contact us below. Agents can also erase a contact’s data from within the app.
Security
We protect information with access controls, encryption in transit, tenant isolation, and least-privilege service credentials. No method of transmission or storage is perfectly secure, but we work to protect your data and limit access to what each part of the Service needs.
Analytics & cookies
We use essential cookies to keep you signed in and privacy-respecting product analytics to understand usage and improve the Service. We do not use third-party advertising cookies.
Children
The Service is for businesses and is not directed to anyone under 18. We do not knowingly collect personal information from children.
Changes
We may update this policy; we will revise the “Effective” date above and, for material changes, provide notice within the Service.
